PROTECTING YOUR BUSINESS COMMUNICATION

Email Policy

Responsible sending, secure accounts and clear expectations for business email.

01What email hosting is for

This policy applies to mailboxes, webmail, SMTP, website-generated messages and forwarding provided through LittleGoliath hosting. Read it with the Terms of Service and Privacy Policy. Account holders must ensure their users, devices, websites and appointed service providers follow it.

Our standard service supports ordinary business correspondence and legitimate transactional messages within the resources of your package. Shared mail infrastructure must remain usable for every customer. It is not a bulk-mail delivery platform or a long-term backup service.

02Spam & prohibited sending

Do not send, relay or facilitate unsolicited bulk email, phishing, fraudulent messages, malware, harassment or unlawful material. Do not forge sender details, conceal the origin of a message, run an open relay or use compromised accounts. Purchased, rented, harvested or scraped address lists are not acceptable for sending through our services.

You may not use another provider to send spam promoting a website hosted with us, or use our mailboxes to collect replies to spam. A publicly listed address, business card or previous enquiry is not blanket permission to send marketing. Repeated complaints, invalid addresses and suspicious sending patterns may trigger investigation or restrictions.

03Permission, marketing & unsubscribing

Electronic direct marketing must meet POPIA and other applicable requirements. Obtain the required consent unless the narrow existing-customer exception applies: contact details were obtained during a sale, marketing concerns your own similar products or services, and an opportunity to object was provided at collection and with every message.

Identify your business clearly and provide a working, simple way to unsubscribe. Honour objections promptly, maintain suppression records and do not add people back without a valid new basis. Keep evidence of when, how and what permission was obtained, or why the customer exception applies. We may request that evidence when investigating a complaint.

Permission alone does not make bulk sending suitable for a shared hosting account. The sending restrictions below still apply. Do not use bulk “permission request” campaigns to bypass this policy.

04Bulk campaigns & sending limits

Use a dedicated email-marketing provider for newsletters, promotions and other bulk campaigns. Contact us before connecting an external sending platform so that domain authentication can be configured correctly. External providers have their own charges, limits and compliance requirements; using one does not remove your obligation to avoid spam.

Outgoing volume, recipient, attachment, connection and resource limits depend on your package and the mail platform serving it. Ask us for your account’s current limits before enabling automated or high-volume sending. This policy does not promise a universal hourly allowance or unlimited sending.

Do not bypass limits by splitting traffic across accounts, scripts or domains. We may throttle or temporarily block unsafe traffic. We will explain material planned limit changes where practical; urgent protection may take effect immediately.

05Secure configuration & domain authentication

Use authenticated SMTP and encrypted connections where supported by the service and mail client. Set up SPF, DKIM and an appropriate DMARC policy for the services authorised to send for your domain. Ask for help before changing DNS records: duplicate SPF records, missing signatures or an overly strict policy can stop legitimate mail.

Protect mailbox and control-panel passwords, enable additional authentication where available, update devices and mail applications, and remove access for former staff. Secure website forms against automated abuse. Never publish credentials or send them in an ordinary support email.

06Compromised accounts & restoration

Report suspected unauthorised access or unexpected outgoing mail immediately to info@littlegoliath.co.za, or call 079 778 9165 if email is unavailable. We may restrict sending or isolate the affected account before notice when necessary to contain abuse.

Restoration may require password resets, removal of malicious forwarding rules, device scans, website repairs and confirmation that the source of abuse has been addressed. We will explain the reason for restrictions and the steps needed to restore service where lawful and practical. Repeated or unresolved abuse may lead to further restrictions or termination under the Terms of Service.

Mailbox or device remediation outside included support is separately quoted. There is no automatic promise of free third-party blacklist removal, and any additional charge must be disclosed and agreed or otherwise lawfully due.

07Delivery, filtering & blocklists

Spam and malware controls reduce risk but cannot identify every harmful message or avoid every false positive. Review junk folders and any available quarantine, verify unexpected payment instructions through a trusted channel, and exercise care with attachments and links.

A successful send or server acceptance does not guarantee inbox delivery. Recipient filters, attachment rules, DNS, full mailboxes, reputation and blocklists can delay or reject mail. We will investigate issues within our service, but cannot guarantee another provider’s acceptance or the timing or outcome of a delisting request. Do not resend a failing campaign repeatedly; investigate the cause first.

08Mailbox space & retention

Monitor mailbox and hosting quotas and remove or archive material you no longer need. When space is exhausted, messages may be rejected and normal service can be affected. “Unlimited” traffic or an advertised number of mailboxes does not mean unlimited storage or unrestricted sending.

Do not rely on a mailbox as your only business-record archive. Before deleting an account, changing provider or cancelling hosting, export the data you need. Ask about any specific retention or quarantine settings on your account; this policy does not create a guaranteed recovery period after deletion or closure.

09Email backups are your responsibility

No standard mailbox backup service

LittleGoliath does not back up your emails as part of standard email hosting. Keep your own regular, independent backups and check that you can restore them. A separate backup service applies only if expressly agreed in writing.

IMAP synchronisation is not an independent backup: deletion or corruption can synchronise to other devices. Keep protected exports or a suitable independent backup outside the hosting account. We cannot promise recovery of deleted, lost, corrupted or inaccessible messages where no agreed backup exists. This does not exclude duties or remedies that cannot lawfully be excluded.

10Support & licensed software

We can assist with the hosting-side settings and service issues covered by your package. Support for third-party mail applications, device repairs, migration or recovering local data is subject to the agreed scope. Use properly licensed, activated software; we do not bypass activation or support pirated software. Refer licence and activation problems to the software vendor first.

For a delivery query, supply the domain, affected sender and recipient, approximate date and time with time zone, the error or bounce message and relevant headers. Share only the content needed to investigate and redact unrelated personal information. Never include passwords or private keys.

11Complaints, privacy & account status

Report suspected abuse to info@littlegoliath.co.za. Include relevant headers and context where available. We assess reports rather than treating an allegation alone as proof.

Authorised staff may examine relevant service logs and, where necessary and lawful, limited message data to resolve support or security issues. Access must be proportionate to the purpose and handled under our Privacy Policy. Payment-related suspension, cancellation and contractual notice rights are governed by the Terms of Service. Where possible, we notify you of restrictions and how to request a review.

12Changes & questions

We may update this policy as threats, platforms or legal requirements change. Material contractual changes follow the notice and other protections in our Terms of Service. Contact us before launching a new mail workflow if you are unsure whether it fits your package.
